How to transfer a GoHighLevel sub-account to another agency

GoHighLevel transfers a sub-account between agencies natively. The releasing agency’s owner opens the sub-account under Manage Client, chooses Actions, then Transfer Sub-Account, and enters the receiving agency’s Relationship Number. The transfer completes when the receiving agency approves it. Contacts, conversations, workflows and funnels come across; integrations such as Google, Facebook and Stripe are disconnected and need reconnecting.

Before you start

A transfer moves the whole sub-account from one agency to another. It doesn’t merge two sub-accounts or move selected data. The rules below are from HighLevel’s Sub-Account Transfer Guide (opens in a new tab).

  • Who can do it: the agency owner, by default. The owner can grant transfer permission to specific agency admins.
  • The receiving agency must be active, have room for another sub-account, and hold any compliance add-ons the account needs, such as HIPAA.
  • Agency sub-accounts can’t be transferred. HighLevel blocks it to protect the agency’s billing, SaaS and rebilling setup.
  • SaaS Mode is switched off automatically before the transfer. Active subscriptions such as WordPress, Listings, WhatsApp or a dedicated IP have to be cancelled if they block it.

The steps

The releasing agency, the one the sub-account is leaving:

  1. At agency level, go to Sub-Accounts.
  2. Open Manage Client for the sub-account.
  3. Choose Actions, then Transfer Sub-Account.
  4. Enter the receiving agency’s Relationship Number and confirm. The request is sent straight away.

The receiving agency gets an email. From it, or from Sub-Accounts, then Sub-Account Transfers, they review the request and approve it. The sub-account moves as soon as they do.

Phone numbers and email

  • LC Phone numbers transfer automatically when both agencies use LC Phone, and A2P registration stays with them. If either agency uses Twilio, the numbers don’t transfer automatically.
  • LC Email comes across when the sub-account owns its sending domain. A dedicated domain the agency assigned is removed, a dedicated IP is unassigned, and Mailgun or SMTP settings are removed.

Sort out sending before you transfer: a client whose emails and texts stop the day after is a bad first week for the new agency.

What to export before you hand it over

Once the transfer completes, the sub-account belongs to the other agency. Whatever you want to keep a record of, export first.

  • Every workflow, as JSON. A bulk export with GHL Workflow Backup & Audit gives you one dated file per workflow: a record of exactly what was handed over, for both agencies, and something to point at if a question comes up later.
  • The data, as CSV. Contacts, opportunities, form submissions and payments, as covered in how to back up a GoHighLevel account.
  • Anything in the Deleted tab you still need. Workflows deleted before the transfer don’t come across.

The workflow exports earn their keep a second time on the other side. Workflows transfer live, but the integrations some of them use are disconnected. Searching the exported files for steps that use Stripe, Facebook or Google tells the receiving agency which workflows to check before a customer finds out.

After the transfer

  1. Reconnect the authorization connections, Google and Facebook integrations, Stripe and any external calendars.
  2. Set up phone and email sending if they didn’t come across.
  3. Recreate the Smart Lists the team uses.
  4. Open and test the workflows that touch anything you just reconnected. They came across in their existing state, so the published ones are live.
  5. Take a fresh export, so the new agency’s history starts from a known point.

Moving one workflow rather than the whole sub-account is a different job: copying a workflow between sub-accounts covers it.

FAQ

Can you transfer a GoHighLevel sub-account to another agency?

Yes. The releasing agency’s owner, or an admin with transfer permission, sends a transfer request using the receiving agency’s Relationship Number, and the sub-account moves when the receiving agency approves it.

Do workflows transfer with a sub-account?

Yes. Workflows come across in their existing state, with their enrollment data. Workflows deleted before the transfer do not appear in the receiving account’s Deleted tab.

What doesn’t transfer with a GoHighLevel sub-account?

Authorization connections such as Google, Facebook, Instagram and QuickBooks, Facebook and Google integration settings, sub-account Stripe fields, SaaS settings, Smart Lists, external calendar connections and some subscriptions. Phone numbers only move automatically when both agencies use LC Phone.

Should I back up a sub-account before transferring it?

Yes. Export the workflows and the CSV data first. Once the transfer completes, the sub-account belongs to the receiving agency, and a dated export is the only record of exactly what was handed over.
